Creating your own template with Document Automation Wizard


Note:

This section enables users to design and configure their own custom templates, offering flexibility to tailor document layouts, content, and logic based on specific business requirements.


Step 1: On the 'Document Setup' page, click on “Launch Wizard” to create a button for your own personalized templates for document generation.



Step 2: Now, you will see the 'Add Details' screen as shown in image below. Here, you need to add the details in Button Name, then Select a Salesforce Object and Description (Optional) on which you want to keep solution on.


Step 3: After filling all the details click on the 'Create' button.



Adding Relationships


Completing this step will take you to the second step of the Document Setup, i.e; “Gather Data” page. Here you can add Relationships to the objects you selected to fetch the data, related to that object.


Note:

Relationships feature allows you to select all the related objects of the object you want to place button on for Example: If Button is placed on account we can select contacts and child and parent account as lookup. This feature allows you to select the fields of all selected relationships at one place.


Step 4: To add a child, click on “Add Child”.



Step 5: Select the child 'Object' from the dropdown and give an 'Alias' to it.

Step 6: After filling all necessary fields, click on 'Save' button.



Now, you can see a child is added to the relationships. You can add more than one child in the relationships and similarly you can add lookup Relationships.

Step 7: Click on "Next" Button.



This will redirect you to the 'Add Template' page.


Creating Custom Templates


Step 8: Click on 'Create New Document Template' button.



Step 9: It will open a window to upload the template. Now, to add merge fields to your template click on 'Merge Field Helper'.



Step 10: From the merge field helper, you can simply copy the merge fields you want and add it to your template



You can also select the relationship fields from the objects that you selected from the gather data page previously.



Relationship Merge Fields have all the data data that you want to add (in this case we have 'Account and Contact' data as we have selected only two objects)


You can copy the fields you want just by clicking on the clip board icon from the list



Child objects require {{TableStart:ContactsAcc}}{{AssistantName}}{{TableEnd:ContactsAcc}} Syntax to fetch data from Salesforce.

After you have successfully pasted all the required fields to your template it is ready to be uploaded.


Step 11: To upload your updated template click on 'Upload Files' button, add your template and click on 'Save' button.



Your template is now added to your solution.

You can also use third party files like Drop Box , One Drive and Google Drive as document template to generate documents *Premium Feature. Click here to know more.


Adding Custom Email Templates


Step 1: You can also add email templates to the solution, by simply click on “Create New Document Email Template” button



Step 2: Enter 'Template Name' and 'Select a Salesforce object' for which you want to create template.



Step 3: Now, click on 'Next' Button



Step 4: This will redirect you to the Email Template editor, where you can add content to the email body.



Step 5: To add any merge field to the body click on 'Insert Field', select the field you want to add and click on 'Insert' button. You can also copy the merge field to your clipboard by clicking on the 'Copy to Clipboard' button.



Step 6: To add any related field, click on 'Insert Related List' and select the related object.



Step 7: After selecting the object, you can simply select the fields you want to use and move them to the right section and click on 'Insert' button



Step 8: Now that all merge fields are added to the 'Document Email Templates' body click on 'Save & Close'.



Your Email Template is now saved.



Step 9: To add Email Template in the solution, search for the Email Template name in the search bar. Email Templates will appear in the results and select the template you want to add.



Your Email Template will now appear in the Templates Section.



Step 10: Select the template and click on 'Next'.



Email Configuration


Your Email Template is now added to the Solution, its time for configuration.


Step 11: In the Assign Behaviours Section , go to 'Email'.



Step 12: Enter recipients details , 'Save' the settings and click on 'Next'.



Step 13: Now, your button is saved, click on 'Go to Page Layouts' to place the button on the object record page.



Step 14: Select the layout where you want the button to be placed.



Step 15: Then, go to Mobile and Lightning actions, select your newly created button and drag it to the 'Salesforce Mobile and Lightning Experience Actions' section and click on 'Save'.



Step 16: The button will appear on the Record Page, Click on button to 'Generate Your Document'.



Clicking the Button will take you to the composer window.


Step 17: Now, click on 'Download (Template)' to download your document.



You can also select format of the Download File by selecting from the arrow icon as shown in the image.



To send the email, click on arrow icon in the 'Send Email Button' and select 'Custom DME Mail'. (You can also use Standard Salesforce Templates) 



Additionally, you can also choose from options if you want to attach file to the Salesforce.
